Executive Summary

The Business Classification Automation solution, built on Oracle Integration Cloud (OIC) with embedded GenAI capabilities, tackles two of the most persistent pain points in supplier compliance — the inability to reliably notify suppliers about expiring certificates and the absence of any automated mechanism to capture renewals in Oracle Fusion.

Running on a daily automated schedule with no manual intervention required, the solution closes the compliance loop entirely — from proactive supplier outreach all the way through to intelligent certificate processing and real-time record updates in Fusion, giving procurement teams complete visibility, full auditability, and the confidence that supplier certification data is always accurate and current.

Where Oracle Fusion’s native capabilities fall short in tracking certificate compliance end-to-end, the Business Classification Automation solution steps in — built on Oracle Integration Cloud (OIC) and powered by GenAI to deliver what no manual process ever could: complete automation from expiry detection to renewal confirmation.

The solution runs silently in the background every single day, identifying at-risk suppliers, dispatching timely notifications, and standing ready to receive, read, and register incoming certificate renewals directly into Oracle Fusion the moment they arrive without requiring any human intervention.

Problem Statement

In any organization, a Business Classification Certificate plays a critical role in supplier engagements — if a certificate expires, the buying organization is legally and operationally unable to conduct any business with that supplier. This makes timely certificate management a non-negotiable compliance requirement.

In the current Oracle Fusion Cloud setup, certificate expiry notifications can be triggered through a scheduled process — however, a significant gap exists there is no visibility or tracking into how many notifications were successfully delivered to suppliers and how many were not. This lack of transparency creates compliance blind spots where expired certificates go unaddressed simply because teams cannot confirm whether the supplier was ever informed. Furthermore, the existing process requires suppliers to manually log into the Supplier Portal and attach their renewed certificate — a process that is cumbersome, time-consuming, and results in low adoption, delayed submissions, and ultimately a backlog of unprocessed or missing certificates in Oracle Fusion.

Solution Overview

The solution consists of two automated OIC integrations that work in tandem to manage the full lifecycle of Business Classification Certificates for suppliers.

  • Integration 1 – Expiry Notification to Suppliers

A scheduled integration runs daily and calls a BI Report to retrieve the list of all active suppliers. For each supplier, it fetches the Admin Contact and the Business Classification record via REST API. It then calculates the number of days remaining before the certificate expires. If the expiry is within the configured threshold (x days), the integration automatically sends a notification email to the supplier, alerting them to renew their certificate on time.

  • Integration 2 — Inbound Certificate Processing via GenAI

A second scheduled integration monitors a designated inbox daily for incoming emails from suppliers. For each email, it checks for attachments. If an attachment is found, a GenAI Agent extracts the Business Classification data from the document. If no attachment exists, the GenAI Agent parses the email body for the relevant information. The extracted data is then used to automatically create or update the Business Classification record in Oracle Fusion for the corresponding supplier. Once processed, the email is moved to a designated Processed Folder, maintaining a clean and auditable inbox.

Integration 1 — Step-by-Step Process Flow

The table below outlines each step in the Expiry Notification integration:

# Step / Component Description
1 Scheduled Trigger Integration starts automatically on a daily schedule via OIC Scheduled Agent.
2 Fetch Supplier List Calls an Oracle BI Report to retrieve the full list of active suppliers registered in the system.
3 Get Admin Contact For each supplier, calls the REST API to retrieve the Supplier Admin Contact details (name, email, etc.).
4 Get Business Classification Fetches the current Business Classification record for each supplier via REST API, including the certificate expiry date.
5 Calculating Expiration Days Calculates the number of days remaining: Expiry Date − Current Date = Remaining Days.
6 Threshold Check Evaluates whether the calculated days are within the configured threshold (≤ x days).
7 Send Notification If within threshold, sends an automated email notification to the supplier with details of the upcoming expiry.
8 Skip If the certificate is not near expiry, the supplier record is skipped and processing moves to the next supplier.

Integration 2 — Step-by-Step Process Flow

The table below outlines each step in the Inbound Certificate Processing integration:

# Step / Component Description
1 Scheduled Trigger Integration starts automatically on a daily schedule to monitor the designated inbox.
2 Fetch Emails from Inbox Reads all new incoming emails from the configured inbox folder.
3 Check for Attachments For each email, the integration checks whether a certificate attachment is present.
4a Process Attachment (Yes) If an attachment is found, the file content is extracted and passed to the GenAI Agent for structured data parsing.
4b Process Mail Body (No) If no attachment is found, the email body text is extracted and passed to the GenAI Agent for parsing.
5 GenAI Agent — Parse Content The GenAI Agent intelligently reads and interprets the content (document or email) and extracts Business Classification data fields.
6 Create Record in Fusion The data parsed is used to create or update the Business Classification record for the supplier in Oracle Fusion.
7 Move to Processed Folder After successful processing, the email is moved from the inbox to the Processed Folder for auditability.

Benefits

This solution delivers measurable value across compliance, efficiency, and data accuracy:

    • Automated daily monitoring of all supplier Business Classification Certificate expiry dates
    • Timely, proactive notifications sent to suppliers before certificates expire, reducing compliance risk
    • Intelligent GenAI-powered extraction of certificate data from both email bodies and attachments
    • Automatic creation and update of Business Classification records in Oracle Fusion without manual data entry
    • Clean inbox management with automatic routing of processed emails to a designated folder
    • Reduced Administrative Overhead and elimination of manual tracking spreadsheets
    • End-to-end audit trail maintained via processed email folder and OIC integration logs

Conclusion

The Business Classification Automation solution transforms what was previously a time-consuming, error-prone manual process into a fully automated, intelligent workflow. By combining Oracle Integration Cloud’s scheduling and REST capabilities with GenAI-powered document parsing, this solution ensures that supplier certificates are tracked proactively, notifications are sent on time, and Oracle Fusion is always populated with accurate, up-to-date classification data.

This solution strengthens supplier compliance governance, reduces operational risk, and gives procurement and supplier management teams the confidence that critical certification workflows are handled automatically and accurately — every single day.

Key Takeaway: This solution automates supplier certificate expiry notifications and inbound certificate processing using OIC and GenAI — eliminating manual effort, improving compliance, and keeping Oracle Fusion data accurate and current.
